The document is used to define the policies which govern the employees and staff of CabbageTree Solutions (which includes all the permanent and contract employees) who are involved in the projects undertaken by the company to offer various content services to its clients.
All the employees involved in client projects shall confirm that this document has been read and understood by that person.
The objective of this document is to ensure safety at all times, to client information and project data shared to the company during the course of the project.
Handling Client Information:
CabbageTree Solutions needs to collect and use certain types of information about the clients who award projects to the company. This may include information pertaining to their business processes, data pertaining to their current, past or future engagements, entities such as partners, vendors, employees, clients, suppliers, service users and any others in the capacity of an individual or an organization with which the client office communicates.
CabbageTree Solutions and all its employees (both permanent and contract employees) are by law required to exercise caution while handling such confidential data while collecting or using the same in their project.
CabbageTree Solutions believes that treatment of any personal information lawfully and correctly is critical for successful business operations, and for maintaining the trust from the clients. The Data Protection Act 1998 stands to safeguard the privacy and rights of living individuals. It monitors and controls the various aspects of transactions involving personal information such as collecting, storing, using or disclosing such information.
Managers shall be liable and responsible to ensure that personal information and project data is securely safeguarded using appropriate data security measures (i.e. relevant to the sensitivity of the personal information).
Every employee shall ensure that:
Personal information is disposed of securely.
Personal information shall never be shared with any third party. Exception to this shall be to obtain necessary permission or authorization from the organization.
Data Security:
Data shall be safely kept in specific project folders with suitable access restrictions and permissions defined on the folders.
Files shall be named using special approach to ensure that the file name clearly indicates the client name based on unique codes assigned to each project pertaining to each client.
CabbageTree Solutions and all its employees believe in the “Client First” policy. This policy will ensure that enough care and caution is exercised to plan and execute the projects such that the client deliverables are delivered “In Time – Every Time”. The managers and the team will put in every effort to extend their support and complete the client projects in time. It is important to remember that “A happy customer gives a repeat business 20-25% of the time, and that Happy customers are the best marketing strategy for any company to attract 80% of fresh additional business”.
Delivering the “Right Product (/Service) at the Right Time with Right Quality” is the goal of each and every employee working with CabbageTree Solutions.
Managers should ensure that the payment to the projects delivered are received within 7 business days from the date of confirmation of receipt by the client.
It is the responsibility of the project manager to follow up with the client for the payment in case there is any hint of delay from the client’s side.
The project shall be deemed as closed only after receiving a final signoff from the client and the company for the delivered project and for the payment received.
Every employee will be circulated with a soft copy of this document before they take charge of their project duties and they are obliged to submit a copy of this document signed by every employee before getting involved in the client project activities.
